Operations Coordinator

Summary:
Keoni Movement Arts is a 501(c)3 that provides accessible yoga, dance, and gymnastics programming in the greater NYC metro. The Operations Coordinator will work closely with the Founder/ Executive Director in managing daily operations and essential duties associated with programming, fundraising, and communications. This newly-created position is an excellent opportunity for an organized, proactive individual who is comfortable with taking the lead on creating and implementing processes and systems. 

Primary Responsibilities:

  • Track volunteer and staff applications; conduct background checks and onboarding as required

  • Hire and supervise intern(s) and administrative assistants, as needed

  • Collect and input financial information in Quickbooks

  • Handle enquiries from potential and existing partners, clients/students, and third-party vendors

  • Process scholarship applications

  • Manage program logistics including but not limited to scheduling/tracking studio bookings, maintaining equipment (e.g. yoga mats, bolsters), and updating class calendar on Squarespace website

  • Register students on-site at classes (held in Hell’s Kitchen/Clinton neighborhood)

  • Assist with setting up and break down of weekly classes (typically held early evening during the week and Saturday mornings)

  • Create and distribute monthly KMA newsletter via Mailchimp

  • Publish relevant news and updates on KMA Facebook and Twitter accounts

  • Create program flyers in Canva for outreach and promotion

  • Provide grant support including research and proofreading

  • Process donations and send donor acknowledgement letters

  • Ensure donor database, Eleo, is up to date

  • Assist with developing fundraising campaigns and communications

  • Conduct community outreach to raise awareness of KMA programs and increase participation

  • Ad hoc duties as they arise

Requirements:

  • Comfortable working in a small team environment

  • Strong attention to detail, organized, and proactive

  • Experience with creating processes and systems to streamline work/tasks

  • Proficient with Google applications (e.g. Gmail, Drive, Calendar, etc)

  • Experience with data entry and database management

  • Experience with email platforms like Mailchimp and social media is a plus

  • Experience in nonprofit sector (arts programming a plus)

  • Excellent interpersonal and communication skills

  • Ability to build strong relationships with diverse communities

  • College degree, or equivalent professional experience

  • Experience with yoga, dance, and/or gymnastics strongly preferred

Additional Information:

Currently this position is budgeted for 10 hours/week with an opportunity to increase over time. The candidate must be available early evenings and weekends to manage in-person class registration and assist with class set-up/breakdown. Administrative tasks may be completed remotely. Spanish or Chinese speaking a plus.

Pay Rate: $25/hr.
